General contractor automation: bids and RFIs without the inbox pileup

Commercial general contractors and specialty subs live in their inbox: bid invitations, RFIs, submittals, daily reports and pay applications. Most of it follows a pattern, and most of the tools to handle it already sit in Procore, Autodesk Build or Microsoft 365.

You already have the tools. You just haven't had time to build them out. I do it for you.

Where the time goes

What slows the office down

Bid invitations everywhereInvitations to bid arrive from multiple platforms and emails, and estimators spend hours sorting which ones fit before they ever price one.
RFI and submittal logsLogs are updated by hand, responses are chased by email and nobody is sure which version of a submittal is current.
Daily reports at the end of a long daySuperintendents write daily reports late in the evening, and the information rarely flows into anything useful.

Bid invitation triageInvitations are collected in one place and summarized by scope, location and due date, so estimators decide quickly which to pursue.
RFI and submittal trackingLogs update automatically from your project platform, with reminders to whoever owes a response.
Daily report draftingSupers dictate or jot notes and photos; a structured daily report is drafted for them to review and submit.
Pay application prepSchedule-of-values progress and backup documents are gathered each month for the project manager to finalize.
Sub compliance documentsInsurance certificates and licenses for subs are tracked with expiration reminders.

Document control without a document controller

Large GCs have staff whose whole job is document control. Smaller GCs and specialty subs have a project manager doing it between site visits. Automation can carry much of the logging and reminding so the PM focuses on decisions.

The PM still answers every RFI and approves every submittal.

AI for reading, not deciding

AI is useful for summarizing long bid documents, pulling dates and scopes out of invitations and drafting daily reports from notes. It doesn't make engineering, pricing or contractual decisions, and anything it drafts is reviewed before it leaves the company.

Data handling

What stays where

Project documents and contracts stay in your project platform and storage. I don't give legal, contractual or code advice. Drafts are reviewed by your team before they're sent.

We can meet in person in the Treasure Valley or over video, whichever suits you. Remote projects for Idaho businesses work just as well. Nearby: Boise, Meridian, Nampa, statewide.

Time back, not revenue promises. The systems I build are designed to save your team real hours on the work we automate. I don't guarantee specific revenue or lead numbers.

No compliance guarantees. I don't provide legal, tax, regulatory, licensing or data-privacy advice or certification.

Results come from willingness to innovate. The businesses that win are the ones ready to adopt new tools and change how work gets done.

FAQ

General & specialty contractors questions

We're a specialty sub, not a GC. Does this apply?

Yes. Subs deal with the same bid invitations, submittals, pay apps and compliance paperwork, often with fewer people.

Do you work in Procore?

Yes. Procore has many features and integrations that small teams never set up.

Can AI estimate jobs for us?

No. It can organize bid documents and summarize scope, but pricing stays with your estimators.
