Microsoft 365 Copilot for small business: the right licence, then real adoption
Almost every service business runs its office on Microsoft 365 or Google Workspace, whatever field software the trucks use. For Microsoft shops, AI now comes in two layers, and the difference trips people up.
According to Microsoft, Copilot Chat is available at no additional cost to users with an eligible Microsoft 365 business plan. It is web-grounded and, per Microsoft's FAQ, doesn't integrate with your Microsoft 365 apps or organizational content such as files, emails or chats. Microsoft 365 Copilot (sold to small businesses as Copilot Business, or bundled into "with Copilot" plans) connects to your work data and works inside Word, Excel, PowerPoint, Outlook and Teams, with prebuilt agents such as Researcher and Analyst (Microsoft 365 business plans; Copilot business pricing).
Buying licences is the easy part. The common failure is paying for Copilot seats nobody opens after the first week. I help small offices decide who actually needs a licence, set up the basics so Copilot can find the right files, and build a few habits that stick.

Where Copilot earns its seat in a service-company office
Outlook. Summarising long customer or vendor threads, drafting replies in your tone and catching up after a day in the field. A frequent support question is "Copilot in Outlook not showing", usually a licence, app version or admin setting, which is part of setup.
Excel. Questions about job costing exports, technician productivity or AR aging, in plain English, from spreadsheets your platform already produces.
Word and PowerPoint. Proposals, scopes of work, safety documents and training material drafted from your own templates.
Teams. Meeting recaps and action items for the weekly ops meeting.
What setup involves
- Licence fit. Who needs full Copilot, who is fine with free Copilot Chat, and whether a "with Copilot" bundle or an add-on is cheaper for your seat count.
- File hygiene. Copilot reads what users can access. Messy SharePoint and OneDrive permissions mean wrong or oversharing answers, so we tidy access before turning it on.
- A short prompt library. Five to ten prompts for your real tasks (quote follow-up email, job summary, weekly numbers) saved where the team can find them.
- Adoption check. Microsoft includes usage analytics for licensed organisations. We look at them after 30 days and drop seats that aren't used.
Whatever you're weighing, ChatGPT, Copilot or both, the approach is the same: start with the task, then pick the tool.
A realistic first month
Week one is licences and permissions: decide who gets a seat, fix the folders Copilot shouldn't see, and confirm Copilot appears in Outlook and Teams for those users. Week two is the prompt library and a short session with the office. Weeks three and four are use: real emails, real proposals, real spreadsheets, with a quick check-in on what worked. At day 30 we look at Microsoft's usage numbers together and decide whether to keep, add or drop seats.
How we'd work together

- AI Assessment (paid): licence recommendation, readiness check and one capped adoption project.
- Set up, train, measure in your tenant, with a 30-day usage review.

Copilot questions
Is Copilot Chat enough? For web research and drafting, often yes. For anything that needs your email, files or Teams chats, you need a Copilot licence.
Do you sell Microsoft licences? No. You buy direct or through your existing IT provider; I help you choose and set up.
We use Google Workspace. Gemini for Workspace is the equivalent; ask on the call.
