Tax preparer automation: a season that doesn't run on reminders
Opens Google Calendar to pick a time. We meet on Google Meet or in person.
Tax preparation is the most seasonal work in professional services. Three months of volume depend on getting organizers back, documents in and signatures collected. When that runs on phone calls and sticky notes, preparers lose time they don't have.
You already have the tools. You just haven't had time to build them out. I do it for you.

Build in the off-season
The only practical window to change a tax office's workflow is May through November. A project built in summer can be tested with a handful of friendly clients in the fall and run at scale when organizers go out in January.
Trying to change the process in February rarely works, and I'll say so if that's when you call.
Protecting taxpayer data
IRS Publication 4557 expects tax professionals to have a data security plan. Automations should strengthen it, not create new places for taxpayer data to leak. That means using the secure portal you already have, limiting access and keeping a record of what each automation touches.
Data handling
What stays where
Paid preparers are expected to follow IRS Publication 4557 and the FTC Safeguards Rule. Organizers, returns and identity documents stay in your secure portal and tax software. Reminders contain no taxpayer data beyond a first name and a link. I keep a record of every automation so it matches your data security plan, and I don't give tax advice.
We can meet in person in the Treasure Valley or over video, whichever suits you. Remote projects for Idaho businesses work just as well. Nearby: Boise, Meridian, Nampa, statewide.
Time back, not revenue promises. The systems I build are designed to save your team real hours on the work we automate. I don't guarantee specific revenue or lead numbers.
No compliance guarantees. I don't provide legal, tax, regulatory, licensing or data-privacy advice or certification.
Results come from willingness to innovate. The businesses that win are the ones ready to adopt new tools and change how work gets done.
FAQ
Tax preparation questions
Can AI prepare returns for us?
No. I don't automate tax judgment or preparation. The work is intake, reminders, tracking and communication around the return.
We're a seasonal office with two preparers. Is this worth it?
Often yes. Small offices feel the document chase the most, because the preparers are also the office staff.
Do you work in Drake?
I work around it: client intake, portals, reminders and tracking connect to where Drake fits in your process.
