Payroll automation: inputs collected on time, every time

Running payroll is mostly about collecting inputs: timesheets, rate changes, new hires, terminations and deductions. Payroll providers and in-house teams already have the software to process it. The bottleneck is getting clean information in before the deadline.

You already have the tools. You just haven't had time to build them out. I do it for you.

Where the time goes

What slows the office down

Late and messy timesheetsHours arrive by text, spreadsheet and photo of a paper card, often after the cutoff, and someone has to reconcile them by hand.
Changes buried in emailA raise, a new deduction or an address change gets mentioned in an email thread and missed until the employee notices on payday.
New-hire paperworkOnboarding forms, tax withholding elections and direct deposit details trickle in over weeks, delaying the first correct paycheck.

Timesheet collection and remindersManagers and staff get automatic reminders before the cutoff, and hours flow from your time tool to payroll without retyping.
Payroll change request formRate changes, deductions and terminations come in through one structured form with approval, instead of scattered emails.
New-hire onboarding checklistNew employees receive the right forms in order, with reminders until each is complete, and the payroll record is ready before the first run.
Pre-run review listBefore each run, a short list flags unusual hours, missing approvals and new changes for a person to check.
Client reminders for payroll bureausBureaus serving many small businesses can send each client a consistent reminder and confirmation for every pay period.

Small mistakes, big consequences

Payroll errors are expensive in trust more than money: an employee who is paid wrong once remembers it. Most errors come from late or incomplete inputs rather than from the payroll software itself.

That's why the projects here focus on collecting the right information early and putting a human check in front of anything unusual.

For bureaus and in-house teams

A payroll bureau handling dozens of small clients needs consistency: the same reminder, the same form and the same confirmation for every client. An in-house team at a single company needs fewer moving parts and cleaner approvals. The first project is scoped to whichever describes you.

Data handling

What stays where

Payroll data includes Social Security numbers, bank details and pay rates, so it stays inside your payroll provider and access-controlled systems. Automations pass only what's needed, and nothing goes into consumer AI tools. I don't provide tax, wage-and-hour or legal advice.

We can meet in person in the Treasure Valley or over video, whichever suits you. Remote projects for Idaho businesses work just as well. Nearby: Boise, Meridian, Nampa, statewide.

Time back, not revenue promises. The systems I build are designed to save your team real hours on the work we automate. I don't guarantee specific revenue or lead numbers.

No compliance guarantees. I don't provide legal, tax, regulatory, licensing or data-privacy advice or certification.

Results come from willingness to innovate. The businesses that win are the ones ready to adopt new tools and change how work gets done.

FAQ

Payroll services questions

Do you process payroll?

No. Your payroll provider or team processes it. I automate how information is collected, approved and checked before each run.

Can this work with Gusto or ADP?

Yes. Both connect to many time-tracking and form tools, and most of the work is configuration.

We're a payroll bureau. Can you help with client onboarding?

Yes. A consistent onboarding flow for new client companies is a common first project.
