Physical therapy and chiropractic clinics depend on patients completing a series of visits. Missed appointments and patients who drop off mid-plan hurt outcomes and the schedule. WebPT, Jane and similar systems can automate much of the scheduling work.

You already have the tools. You just haven't had time to build them out. I do it for you.

Where the time goes

What slows the office down

No-shows and drop-offsPatients miss visits or stop coming before their plan is finished, and the front desk only notices when the schedule has gaps.
Rebooking at checkoutBooking the next several visits at checkout takes time while the waiting room fills up.
Intake and referral paperworkNew patients and physician referrals arrive by fax, email and phone and are entered by hand.

Visit-series schedulingPatients can book their remaining visits online, and reminders keep them on schedule.
No-show follow-upA missed visit triggers a friendly rebooking message and a task for the front desk.
Drop-off alertsPatients with no upcoming visit before their plan is complete are listed for a call.
Digital intakeIntake forms are completed online and flow into your clinic system through a BAA-covered tool.
Referral intake logReferrals are logged in one place with status, so none fall through the cracks.

The schedule is the business

For a clinic, a full and reliable schedule matters more than almost anything else on the admin side. Most of the automation here supports that: easier booking, timely reminders and a quick call when a patient falls off their plan.

Keeping messages minimal

Reminder and follow-up messages should include only what's needed: a time, a place and a link. Clinical details stay out of texts and emails, and every template is approved by the clinic before use.

Clinical documentation and care decisions remain entirely with your providers.

Data handling

What stays where

Therapy and chiropractic clinics are HIPAA-covered. Scheduling, reminders and intake logistics are in scope; plans of care, SOAP notes and anything a provider documents or decides are not. Reminder texts carry only the appointment time and clinic name, and tools that handle PHI need a BAA with your clinic.

We can meet in person in the Treasure Valley or over video, whichever suits you. Remote projects for Idaho businesses work just as well. Nearby: Boise, Meridian, Nampa, statewide.

Time back, not revenue promises. The systems I build are designed to save your team real hours on the work we automate. I don't guarantee specific revenue or lead numbers.

No compliance guarantees. I don't provide legal, tax, regulatory, licensing or data-privacy advice or certification.

Results come from willingness to innovate. The businesses that win are the ones ready to adopt new tools and change how work gets done.

FAQ

PT & chiropractic clinics questions

Can you integrate with WebPT?

Often, through its built-in features and supported integrations. We check what your plan includes first.

Do you help with billing or coding?

No. Billing and coding involve clinical and payer rules outside my scope.

Is this only for large clinics?

No. Single-location clinics often feel scheduling gaps the most.
