Real estate agent automation: speed-to-lead in the CRM you have

Real estate teams pay for powerful CRMs like Follow Up Boss, Lofty and BoldTrail, then use them as an address book. Leads go cold because nobody responded fast enough, and transactions run on memory and email.

You already have the tools. You just haven't had time to build them out. I do it for you.

The 2023 Census County Business Patterns file counts 902 real estate agent and broker establishments in Ada and Canyon counties (768 in Ada, 134 in Canyon). Source: U.S. Census Bureau, County Business Patterns

Where the time goes

What slows the office down

Slow first responseOnline leads arrive at all hours. When the first reply takes hours, the lead has often already talked to another agent.
Nurture that stops after a weekMost leads aren't ready to buy now. Without a long-term nurture plan, they're forgotten long before they're ready.
Transaction checklists in headsInspection deadlines, appraisal dates and closing tasks are tracked in a notebook or a coordinator's memory.

Lead routing and instant replyNew leads are routed to the right agent by source or area, with an immediate personalized text or email and a task for a call.
Long-term nurture plansLeads get sequences matched to their timeline and interests, written in the agent's voice and approved by the team lead.
Transaction checklistEach deal gets a checklist with deadlines from the contract, reminders for every party and a clear view for the team.
Past-client follow-upClosing anniversaries and market updates keep past clients in touch, which is where referrals come from.
Showing feedback collectionFeedback requests go to showing agents automatically and the responses are summarized for the seller.

Fair housing and automation

Automated messages, ad targeting and chat responses must never treat people differently based on protected classes under the Fair Housing Act. I build nurture and routing rules on property preferences, timelines and areas, never on characteristics of the person, and the team reviews every template before it goes live.

Teams versus solo agents

A team needs routing rules, accountability and a dashboard of who followed up. A solo agent needs the CRM to remember everything so they can focus on clients. The first project is scoped to which one you are, and what your CRM already supports.

Either way, nothing goes out under an agent's name without that agent's approval of the template.

Data handling

What stays where

Client information stays in your CRM and transaction platform. Texting and calling follow TCPA consent rules, and all messaging is built to comply with fair housing requirements. I don't give legal or brokerage-compliance advice.

We can meet in person in the Treasure Valley or over video, whichever suits you. Remote projects for Idaho businesses work just as well. Nearby: Boise, Meridian, Nampa, statewide.

Time back, not revenue promises. The systems I build are designed to save your team real hours on the work we automate. I don't guarantee specific revenue or lead numbers.

No compliance guarantees. I don't provide legal, tax, regulatory, licensing or data-privacy advice or certification.

Results come from willingness to innovate. The businesses that win are the ones ready to adopt new tools and change how work gets done.

FAQ

Real estate agents & teams questions

Can you set up Follow Up Boss action plans?

Yes. Action plans, automations and integrations are usually the first thing we configure.

Will texts sound automated?

They're written in your voice and kept short. You approve every template before it's used.

Do you work with brokerages?

Yes, for agent onboarding, lead routing and transaction compliance tracking.
